Late Pick Up
If an unfortunate event occurs and you are late to pick up your child, then please give a courtesy call to the office.
Early Pick Up
If you are collecting your child early from school (this includes medical appointments etc), please inform Reception and the class teacher prior to pick up. You will collect your child from Reception and NOT the classroom. You will need to sign your child out in the Student Exit book located in Reception.
Absence Form and Attendance
Good attendance is a foundation for academic achievement and it underpins all aspects of personal development. It establishes a responsible attitude towards the opportunities available in school and further education and it is the basis for the world of work. Our school actively promotes and encourages attendance for all pupils. Our aim is to ensure that pupils come to school every day and arrive at school on time. We strive for attendance that is consistently outstanding for all groups of pupils.
Absence Procedure
Safa British School recognises that pupil absence during term time can seriously disrupt a pupil’s continuity of learning. Parents are therefore strongly urged to avoid booking a family holiday in term time.
- Parents should apply in advance to withdraw pupils from school for a holiday
- No more than one period of holiday of no more than 10 (10) days in any academic year can be authorised
To request a holiday during term time, you will need to complete our Application for Leave of Absence form. When an absence is authorised, parents will be provided with written permission.
- When a child is unwell, parents should complete this form by 8am on the day of absence to report that your child will not be in school
- Every effort should be made to arrange medical appointments outside school hours.
- If your child needs to attend a medical appointment during school hours, please complete this form
- If it is necessary for a child to be out of school for this reason, the child should be returned to school directly after the appointment.

- Once school has started, your class teacher will not let you enter the classroom without providing a Late Slip.
- Children must report to reception to sign in the late book so that we are aware that they are attending school.
- They will be escorted to class by a member of staff and be given a late slip which will be handed to the class teacher.
- Your child must be ‘registered’ as attending each day in case of a fire or emergency.
- Lateness is monitored by the Headteacher and the KHDA.
ISAMs is used as a way of recording attendance and punctuality and this is monitored by the Pastoral Team in alignment with KHDA expectations. Monthly reports will be printed from ISAMs and shared with teams in order to gain further information regarding a child’s absence.

School Transport
Safa British School transport is provided by School Transport Services (STS), established in 2008. STS is a well renowned and leading transport provider in the region, and currently provides school transport to over 60k students daily, from more than 50 schools throughout the UAE.

Child Safety
Child Check Button
All buses have a Child Check Button located at the rear of the bus. This is used to confirm that no student has been left behind on the bus.
CCTV
All buses are installed with internal and external video surveillance systems to monitor employee and student behaviour. CCTV provides visibility of all students and allows to report or investigate incidents immediately.
STS App
The STS App provides parents with the ability to monitor their child’s bus location. The App is an easy-to-use platform that allows parents to log on and view real time information.
Route Optimisation
STS has introduced a new route management software that will improve student bus routes through optimisation, with the focus to reduce journey times.
GPS Tracking
STS fleet is fitted with Global Positioning Systems for real time monitoring of the bus movement. This advanced level of vehicle tracking ensures the safety of all students on board and assists the team in developing and optimising routes and journey times.
Motion Sensors
The installation of passive motion sensors provides further levels of assurance by alerting the driver if any student is still on board the bus.
RFID Student Tracking
All students are issued with RFID cards that are used to track when they get on and off the bus. The data collected feeds directly back to STS Operations Control Centre (OCC) which tracks student log reports.
Alert Button
All buses have an Alert Button installed on the dashboard in case of an emergency. The alert button sends an immediate alert to STS 24-hour OCC, with the bus and driver details.
Driver Fatique Camera (POC)
The live camera captures driving habits to identify behaviour such as eye blink rate, mobile phone use and oral intake.

- There is no Primary ECA bus available around 3:10 PM. The parents have to collect their children after the clubs.

School Canteen
Healthy Eating
The school promotes a healthy balanced diet to help children stay focused and attentive during the school day. All children need to have a mid-morning snack. We encourage fruit and vegetables, and would ask you not to send your child with chocolate, crisps or sweets of any kind.
*The school has a NO NUTS policy due to the number of children who suffer from nut related allergies.
FS - Year 4
Children can bring in a packed lunch with their familiar foods from home. Alternatively, they can have lunch provided by the canteen, which is delivered to the classroom as a packed snack and lunch.
Year 5 onwards
Children will have the option of packed lunch or use the online top-up/tap & go catering service provided by the school canteen.
- You can pre-order online from our wide variety of hot and chilled food and drinks menu.
- Please look through the options with your children before placing orders as there are a lot of options that you will become familiar with over time.
- All menu items include the price, full ingredients and allergies are highlighted in red for ease.
- The hot lunch menu can be seen by clicking ‘View Menu.’
- Once you have confirmed your child’s choices you can proceed to the payment.
- Orders can be placed weekly, monthly or termly.
- Orders must be placed by 10am on Sunday for the week ahead.
- If you miss the deadline please provide packed meals for your children that week.
- If your child is absent, you can cancel the order from your personal online account and the funds will move to an online wallet for future use.
- Please note SBS and TSC staff cannot cancel the meals, this can only be done from your own personal account by 7am that day.
- Pupils will be provided with a card from Safa British School.
- They must bring the card to the school canteen to purchase meals during snack and lunch break. If the card is lost, your child must report this to SBS Reception.
- To set up your account please visit Tuck Shop Catering to set up your personal account and top up your children’s cards.
- As soon as your children’s cards have been topped up, they can start using them.
- Pupils will tap the card readers, their photo, balance and any allergies they may have will be shown on the screen for our staff to see.
- The value of the chosen items will be deducted and the next pupil served.
- You will receive automated emails when the balance is low alerting you to top-up.
- You can view your child’s balance and purchase history at any time directly for your account.
- Please note if the card has not been topped up, parents will be called and asked to bring in a packed lunch or top-up instantly. Please try to avoid this, as it slows the lunch service down and even though we try to reassure children, it can cause some distress.

Our menus are freshly prepared daily in the SBS on-site kitchen. This allows us to prepare additional food to avoid running out, it also allows us to top up fresh food for each break and for after-school activities. Rather than transporting food in delivery vans, we believe preparing on-site to be a safer, more hygienic and fresher experience for the students. All meals will be served from the SBS pre-packed in eco-friendly packaging with bio-degradable cutlery.
Our daily menus include non-vegetarian, a vegetarian hot meal of the day, whole-wheat pasta with our protein-rich vegan tomato sauce or beef bolognaise. Our hot and cold snack options include pitta pizzas, quesadillas, fruit pots, freshly baked banana bread, and more. Our pitta pizzas and quesadillas are made with our tasty protein-rich tomato sauce which includes lentils and a blend of many vegetables to add protein, fibre, flavour and nutritional goodness.
Research shows that a healthy lunch time meal helps concentration and learning ability in the afternoon. We believe in a pleasant environment for students, our staff are friendly, knowledgeable and helpful when serving.

Our Parent Portal app gives parents quick access to real-time information about their children. Seesaw is our main learning platform which provides a digital portfolio of your child’s learning and it is also a simple parent communication tool. What is Learning Ladders?
‘Learning Ladders’ is an online tool that our class teachers use every week to record and assess which learning objectives each child is working on in class.
What is Ladders at Home?
‘Ladders at Home’ will allow us to connect you to your child’s learning in real-time, giving you access to what they are learning in school right now, as well as a large quantity of information about why this objective is important and how you can support this objective at home. The articles have been created by hundreds of UK classroom teachers and offer a wealth of ideas and activities that will enable you to easily take your child’s learning from school to home. The articles are also available in a range of languages.
How will we use 'Ladders at Home' at Safa?
‘Ladders at Home’ will be used in addition to the weekly homework/tasks posted on the D6 communicator. It is an optional extra for you to support your child’s learning at home, however we encourage you to use it as often as possible in order to remain informed about what is happening in class. Currently, our teachers use Learning Ladders in the following subjects:

Abjadiyat is an Arabic language learning platform that offers engaging and interactive content designed by leading academics based on best practices and standards. Arabits is a complete language learning system created by experienced education professionals and powered by state-of-the-art AI. At SBS we use arabits to develop listening, speaking, reading, and writing skills with a fun variety of exercises enriched by AI-based tools including speech and handwriting recognition.
Student Onboarding Guide
epraise (FS - Secondary)
Every family who joins SBS will be added to a house. Our House system helps foster a community spirit, provides opportunities to connect with students in different year groups, and allows students to support each other both socially and academically. We use epraise – an online system to collect our students house points. Epraise is designed to motivate students and engage parents. Epraise showcases our students house points, badges, leaderboards and certificates.
Microsoft Teams (Secondary Students)
Microsoft Teams is our main online Teaching and Learning platform. All students are provided with an education copy of Microsoft Office, and the school’s Virtual Learning Platform is built around the Microsoft Teams application.
Foundation & Primary
Parents will receive 3 written school reports at the end of each term.
Secondary
Parents will receive three data points during the course of the year, this will include information including their Attitude to Learning, Assessment Week performance and their term grade. Students will receive one full formal report each year.

Parent/Teacher Conferences take place 3 times per year.
Secondary
There are a variety of information sessions throughout the year, that run on a fortnightly basis, that will allow parents to meet a variety of the school’s staff. Each year group will have one parent-teacher conference each year.
Parent Feedback & Complaints
At Safa British School, we believe that students and parents are entitled to courteous, prompt, and careful attention to their needs and wishes. The school takes any complaints or concerns very seriously, whether they involve your child or the school as a whole. We also welcome suggestions and feedback on ways to improve the school.
We are committed to giving prompt and serious attention to any areas of dissatisfaction. We anticipate that most concerns will be resolved quickly and informally by approaching the appropriate member of staff. If this does not achieve the desired outcome, we have a formal procedure for addressing concerns.

How to make a formal complaint?
The vast majority of concerns and complaints can be dealt with informally. There are many occasions where concerns can be resolved straight away without the need to submit a formal complaint. Concerns raised at this stage might not be classified as complaints.
When a complaint is made directly to the Principal or Head of Secondary/Head of Primary, stage 1 is not required and the formal procedure begins at stage 2.
Individuals may decide to raise their concerns with a member of the school administrative staff, class teacher, senior teacher, nurse, Principal or Head of Secondary/Head of Primary depending on their level of concern and the types of issues they want to discuss. Depending on the sensitivity and seriousness of a concern or complaint, any individual wanting to raise a concern or complaint may contact the Principal or Head of Secondary/Head of Primary directly. In these cases, it will be at the discretion of the Principal/Head of Secondary/Head of Primary as to whether or not to direct them to a particular staff member first.
It is advisable that any parent who has a concern about any aspect related to:
- their child, class teacher, teaching assistant (if applicable) or the class particularly, department, learning/ teaching process, shares their concerns in the first instance with, his/ her class teacher;
- the ancillary staff (cleaners, nannies, maintenance, security guards), shares his/her concerns in the first instance with the school nurse;
- the faculty staff, school in general, policy and code of conduct talks over, shares their concerns in the first instance with the Head of Secondary/Head of Primary;
- the after school extracurricular activities (ECAs), shares their concerns in the first instance with the ECA coordinator;
- the Admissions department, shares their concerns in the first instance the Head Of Admissions
- the HR/ Accounts Department, shares their concerns in the first instance with the HR/ Accounts Head of Department
Steps to be followed:
- A parent should request an appointment with the staff in charge of the particular area of their concern. This can be initiated by phone, by email, or in person.
- A suitable time and place will be agreed for both parties.
- A one-to–one session will be held.
It is not necessary to record or monitor complaints at this level. The Principal and/or Head of Secondary/Head of Primary does not have to be informed about the concern at this stage if resolved to both parties’ satisfaction. There are no specific time scales for dealing with concerns at this stage. However, as at all stages, it is our aim that all concerns should be considered and dealt with as quickly and effectively as possible.
Most complaints should be resolved amicably and informally at this stage. If the individual is dissatisfied with the response they have been given and would like to take their complaint further, they will be referred to the school’s complaints procedure and advised how to escalate their complaint to the next stage.
At this stage, all communications between parties need to be carefully recorded and monitored with the following information:
- the name of the complainant;
- the date and time at which complaint was made and through which communication channel the complaint was disclosed;
- the details of the complaint;
- the desired outcome of the complainant;
- how the complaint is/will be investigated (including written records of interviews held);
- results and conclusions of investigations;
- any action taken; and
- the complainant’s response (satisfaction or further pursuit of complaint).
Discussion with the Principal/Head of Secondary/Head of Primary
Before proceeding with a formal investigation, the Principal/Head of Secondary/Head of Primary will meet with the individual and discuss their concerns. It may still be appropriate and satisfactory to reach a resolution at this point. If not, the Principal/Head of Secondary/Head of Primary will proceed in accordance with the complaints policy, and will advise the parents accordingly.
Submitting a formal complaint
By this stage it must be clear that the concern is a definite complaint and it will be dealt with according to this policy and should be formally submitted in writing to the Principal/Head of Secondary/Head of Primary. For parents not comfortable with making written complaints, there is a template form for recording complaints (see the last page). All written complaints must be written in English.
Steps to be followed:
- A parent should submit a written complaint to the student’s class teacher or form tutor either by email or in person. At this stage, the class teacher/form tutor should notify the Key Stage Leader about the received written complaint. The Key Stage Leader will notify the Principal/Head of Secondary/Head of Primary.
- The Principal/Head of Secondary/Head of Primary should formally acknowledge the complaint within 24 hours of receiving it and begin an investigation.
- The Principal/Head of Secondary/Head of Primary will need to investigate the complaint and review any relevant documentation and information. If necessary, the Principal/Head of Secondary/Head of Primary will interview witnesses and take statements from those involved. If the complaint involves a student, the student will also usually be questioned.
- When the investigation into the complaint is completed, the Principal/Head of Secondary/Head of Primary/School Complaints Committee will meet with the parents to discuss the outcome within 10 working days of the acknowledgement. The opportunity for the Principal/Head of Secondary/Head of Primary School Complaints Committee to meet and discuss the outcome of the investigations with the complainant should be offered at a mutually convenient time. Minutes of the meeting will be recorded (by a third party) during this session, and an agreed written record of the discussion will be shared afterwards. The minutes will record whether or not the complaint has been upheld, the reasons why, and what action (if any) will be taken. All of the parties present at the meeting should sign the minutes and receive a copy. A copy should also be sent to the School Advisory Board.
A record of the written complaint from parents and the summative points from the meeting shall be kept in the following files:
- in the child’s personal file if it is related to the child only;
- in the staff’s file with the Principal/Head of Secondary/Head of Primary if it is related to the faculty staff;
- in the Central Office or school Staff files for all non academic staff.
- in the school complaints file if it is related to the school in general, records should be retained for a period of two years.
Correspondence, statements and records to individual complaints are to be kept confidential where local legal requirements permit access.
In the event that the complainant remains dissatisfied with the outcome of the school’s investigation, the matter may be referred to the School Executive Board for appeal.

- This appeal is reviewed by or on behalf of the proprietor and consists of at least three people (one panel member must be independent of the management and running of the school) ‘who were not directly involved in the matters detailed in the complaint’.
- The elected members of the panel will request a full report from the Principal/Head of Secondary/Head of Primary along with all relevant documents.
- On the basis of these, the members of the panel will call for a briefing from individual members of staff.
- The members of the panel will acknowledge within 24 hours of receipt of the referral that the complaint is being reviewed and he/she will ask the parent if they wish to add further details for consideration.
- A date will also be given by which the parent may expect a full response. The member of the panel may be able to offer a new approach which may satisfactorily conclude the matter for the parent.
- The response will be clear and detailed but, if the parent remains dissatisfied the member of the panel will also offer a meeting.
- A copy of the panel findings and recommendations will be provided to the complainant and, where relevant, the person complained about; and available for inspection on the school premises by the proprietor and the principal.
If a meeting is requested those involved will be:
- The member of the School Executive Board;
- The Principal/Head of Secondary/Head of Primary;
- The relevant member of staff (if deemed necessary);
- Parents may be accompanied at a panel hearing if they wish.
In the unlikely event that the school is unable to address an individual’s concerns to their satisfaction, the individual may wish to approach the regulator, Knowledge and Human Development Authority (KHDA) in Dubai. This option can be pursued even if the child is withdrawn from the School.
Parents may approach KHDA directly after the last or any stage of this complaints procedure.

Star Club is an after-school activity club, operating within Safa British School. We offer a variety of fun, engaging activities for children from FS1 up to Year 6. Our opening hours are 1pm until 5pm, Monday to Thursday. Once you have registered, you can use our service anytime depending on your own lifestyle / work schedule, whether it is every day or once per week. This club is also perfect if you have an FS aged child and a primary/senior sibling, as you will only have to do one pick up when the older child finishes school. We even offer a late pick-up service so that you can drive to school safely if you are running late, in the knowledge that your child will be having fun whilst waiting for you to arrive.

FREE – The policy will be explained to the parent, and any further visits will incur the above fees.
Children up to and including Year 6 cannot be left unsupervised, so need to be collected by a parent or by a secondary sibling. Children who are not collected from school within 10 minutes of the correct pick-up time will be taken to Star Club. This enables the Teachers to continue with their job of preparing your child’s class for the next day.
Late Pick Up Fees
- Up to 30 min – AED 35
- Up to 1 hour – AED 65
- Over 1 hour – the regular session fees apply
- After 5PM – an additional amount of 50 AED per every 10 minutes will apply

Yes, sibling club will not run in Academic Year 2024/2025
No, StarClub will not replace ECAs. Sign-up for ECAs will still be done on a termly-basis, on a first-come, first-served basis.
